Checking Your Own Record — Employee Guide

Everything Arcvue holds about you is on the phone's Home screen and the tabs beside it. There is no separate reports section to find: your record lives where you enter it.

For: everyone with an Arcvue login · Time: ~6 minutes · You'll need: the Arcvue mobile app.

How to access

Open the Arcvue mobile app. Home is the tab you land on, and everything in this guide is reachable from the bottom tab bar.

Part 1 — Start on Home

Home answers the two questions people open the app to ask: am I up to date today, and is anything waiting on me?

Today's hours

Today's hours shows what you have recorded today against your usual day, for example 6.0 / 8.0 hrs, with a bar that fills as you go. Open timesheet takes you to the Time tab, where the whole pay period is.

The big Log Today's Hours button above it says the same thing in words: Tap to log today — confirm your usual, how many hours are left, or Today's hours are in ✓.

Needs attention

Needs attention lists only the things that are yours to act on:

  • timecard entries your supervisor returned for correction
  • drives waiting to be classified as business or personal
  • expense reports still unsubmitted: drafts, and reports sent back to you

Tap an item to land on the screen that clears it. When there is nothing, the list says All caught up., and it means it: the list is built from your own outstanding items, not from a general feed.

Today's entries

Today's entries lists the time you have recorded today, with what each entry was charged to and its hours. It is the quickest way to confirm a charge code went where you meant it to, without opening the timesheet.

Recording from Home

Home carries the entry shortcuts too, because entering time is what you do most:

  • Log Today's Hours opens today's entry screen. The Time tab has the same shortcut as Add entry for today.
  • Say your hours records time by speaking it. The Time tab calls the same thing Log by voice, and the home-screen launcher shortcut is Log time by voice.
  • What can I say? lists the phrases voice entry understands; screen readers announce it as See what you can say to Siri and the mic. The Time tab opens the same list as What can I say? · Voice commands. Read it once; it is short, and it is the difference between voice entry working and not.

Part 2 — Where each kind of record lives

Your record sits on the tab that owns it, and each tab shows your own data only.

TabWhat you can see about yourself
Hometoday's hours, today's entries, anything outstanding
Timeyour timesheet for the pay period, day by day, and your leave balances under Time off
Expenseevery expense report you have filed, with its status and total
Mileageyour tracked drives and what each was charged to
Approvalswhat is waiting on your decision: your team's timesheets and leave requests, and subcontractor hours you review
Settingswho Arcvue thinks you are, and your account controls

If you do not see an Approvals tab, that is correct. It appears for supervisors and leads, and for anyone else the moment a timesheet, a leave request or subcontractor hours are waiting on their decision.

Looking at a different pay period

The Time tab opens on the pay period you are in. Previous pay period and Next pay period (the arrows either side of the dates) step through periods. This period brings you back to the current one. Use it before entering hours; it is easy to type time into a period you were only reading.

Time off, also on the Time tab, shows your leave balances. Requests you have sent are listed on the web, under Labor → Leave Requests.

Part 3 — Reading a status rather than asking

Most "where is my expense report" questions are answered on the Expense tab. Each report shows a status, and the status says whose move it is:

  • Draft or Rejected: yours. It is waiting on you.
  • Submitted: with your approver. Nothing for you to do.
  • Approved, Posted, Paid: done, in increasing order of finality. Paid means it has been reimbursed to you.

Only the two that need you are shown by default; the rest are behind Submitted & completed. So an Expense tab that looks nearly empty is usually good news, not a missing record.

Time works the same way. On the Time tab, each day reads certified or not certified, and the period reads In progress or Submitted. Once your supervisor approves a pay period, it is no longer yours to change; a correction goes through them.

Part 4 — Settings: what Arcvue thinks you are

The Settings tab shows the identity behind everything else. Check it once on your first day:

  • your name and email
  • your role
  • your company, and your division if your company uses them

If any of that is wrong, it is not cosmetic: your role decides what you can reach. Tell your administrator rather than working around it.

Settings also holds your account controls. These are the names on the screen:

ControlWhat it does
Change PasswordSets a new password. Enter your current one, then the new one twice.
Two-Factor AuthenticationSets up your authenticator if it is off. If it is on, Set up again moves it to a new phone. You cannot turn two-factor off yourself; an administrator can reset it.
Notification preferencesOpens your phone's own Settings, because your phone decides whether an app may send you reminders.
Voice commandsExactly what to say to Siri and to the in-app microphone.
Privacy PolicyOpens the published policy.
Terms of ServiceOpens the published terms.
Help & SupportStarts an email to Arcvue support. Questions about your own time, charge codes or leave go to your supervisor or administrator instead.
Open Source LicensesThe open-source software this app is built on.

Below those are the app version and Forget this device, which signs you out completely and turns off Face ID and Touch ID on this phone. To sign out normally, use the icon at the top right of Home.

What Open Source Licenses opens

A searchable list of the open-source packages inside the app, each with its license. It is there because those licenses require it.

Search licenses filters the list, and it matches the license as well as the package name, so searching by license answers "what in here is under a copyleft license". Clear search empties the box, Show all packages returns you to the full list, and Close goes back to Settings.

It lists only what ships inside the app. Tools used to build and test it are not part of what you installed, so they are not listed.

One message worth recognizing

If any screen says it cannot match you to an employee record, your login is fine but it is not linked to your personnel record, so Arcvue cannot record hours or expenses under your name.

Signing out and back in will not fix it. Ask your administrator to link your account. It is a one-time setup step, and it is the most common thing to go wrong on a first day.

Part 5 — What you cannot pull yourself

Arcvue deliberately does not give an employee a report builder. What you can see is your own record, on the screens above, as it stands now.

Anything wider, such as a year of your hours by contract, a leave history, or a reimbursement summary, comes from your approver, your timekeeping administrator or your finance team, who have the reporting screens for it. Ask them; the data exists.

This is a design choice, not a gap. A per-employee report builder would put every employee one filter away from data that is not theirs, and the screens above already answer the questions an employee has.

Part 6 — If a number looks wrong

Check in this order. It resolves most of them without anyone else involved.

  1. Pull down to refresh. Most tabs reload on a pull, and a stale screen looks exactly like a wrong number.
  2. Check whether anything is still waiting to send. If you entered time or an expense with no signal, it is stored on the phone until it can go out, and Home shows how many changes are waiting. Sync now (announced to screen readers as Sync pending changes now) sends them immediately. Until then your own screen can be ahead of what anyone else sees, which is the usual reason a number looks right to you and wrong to your approver.
  3. Check the day and the period. Home shows today only. The Time tab shows one pay period; the day after a period ends, the hours you remember belong to the period that just closed.
  4. Open the timesheet rather than trusting the summary. The day-by-day view shows what is actually recorded.
  5. Close the app completely and open it again. On a new install the first launch can run an older version; reopening picks up the current one. If a screen in this guide is missing, do this first.
  6. Then ask. If the timesheet itself is wrong and the period is still open, correct it. If the period has been approved, your supervisor has to reopen it. Say what is wrong and which dates.
